Information Obligations under Articles 12 and 13 GDPR (German: DSGVO)

Registration for DFKI events

The German Research Center for Artificial Intelligence (hereinafter referred to as DFKI) and its employees are committed to protecting personal data and ensuring informational self-determination in a focused and risk-based way. This data protection statement informs you about how your personal data is processed when you register for DFKI events.

Providing personal data for registration at DFKI events is voluntary. However, registration cannot occur without providing this information.

This is independent of consent to taking photos and videos. This consent can be refused or revoked at any time informally and without providing reasons to the responsible person. Your personal data will then be permanently deleted. The lawfulness of the processing based on consent remains valid until it is revoked.

1. Provision and processing of personal data

The following personal information is collected for registration purposes at DFKI events:

Mandatory data

  • Personal data (first name, last name)
  • Contact details (email address)
  • Organization and affiliation

Optional data

  • Dietary restrictions
  • Country of residence

No additional personal data is processed.

2. Purposes of data processing and storage duration

The data provided will be used solely for preparing, executing, and monitoring the event (such as invoicing or sending materials). They will be deleted after the event, but no later than 6 months afterward.

3. Legal basis

The legal basis for processing personal data is Article 6(1)(b) of the GDPR, as the processing is necessary for the execution of a contract or for taking pre-contractual measures.
Video or photo recordings may only be made and published with your explicit consent (Article 6(1)(a) GDPR).

4. Transfer to recipients

Unless required by law or expressly consented to in specific cases, no personal data will be shared with third parties.
The transfer of personal data to a third country or an international organization may occur, for example, when photos and videos are published online or on social media platforms due to their technical setup.

5. Transparency and intervention

Subject to existing restrictions, you have the following rights to ensure transparent and fair processing of personal data:

  • The right to information
  • The right to correction or completion
  • The right to deletion
  • The right to restriction of processing
  • The right to data portability
  • The right to revoke consent given for processing

6. Right to lodge a complaint

You have the right to complain to a supervisory authority if you believe that the processing of your personal data violates data protection regulations.
